MilleVie Travel LLC

Terms & Conditions

CST #2133792-40

A. GENERAL

MilleVie Travel LLC ("MilleVie Travel," "we," "us," or "our") organizes and sells custom small-group and tailor-made travel packages. By submitting a deposit or full payment, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions (this "Agreement").

MilleVie Travel organizes and sells your trip package under its own name. Certain components of your trip — including accommodations, local transportation, excursions, and ground services — may be arranged in coordination with vetted third-party travel partners. Your agreement for these travel services is with MilleVie Travel LLC.

MilleVie Travel LLC is a registered California Seller of Travel, CST #2133792-40. Registration as a seller of travel does not constitute approval by the State of California. California law requires certain sellers of travel to have a trust account or bond; this business maintains a trust account for client funds.

MilleVie Travel LLC is a participant in the Travel Consumer Restitution Corporation ("TCRC"). If you were located in California at the time of sale, you may request reimbursement from the TCRC if you are owed a refund of more than $50 for transportation or travel services that was not refunded to you in a timely manner. The maximum amount payable by the TCRC to any one traveler is the total amount you paid to MilleVie Travel LLC, not to exceed $15,000. A claim must be submitted to the TCRC within one year of the scheduled completion date of your travel, with sufficient supporting documentation and the applicable processing fee. Filing a TCRC claim requires you to waive your right to pursue other civil remedies against MilleVie Travel LLC for the same matter. Additional information and claim forms are available at tcrcinfo.org. If you were located outside California at the time of sale, this transaction is not covered by the TCRC.

We reserve the right to update these Terms and Conditions at any time. The version posted on our website at the time of your booking governs your trip. Continued use of our services after a change constitutes acceptance of that change; changes are not applied retroactively to trips already booked.

B. RESERVATIONS

Tour packages must have a minimum duration of 7 nights and include accommodation, excursions, and transportation, unless otherwise specified in your proposal.

I. Booking Tour Packages

a. For individuals and small groups (up to 7 travelers)

To secure your reservation, you will first review and select your preferred accommodations from the options we present, along with a final confirmed price. Once you have agreed on your accommodation choices, a non-refundable deposit is required to lock in the trip, the amount of which depends on the specifications of your booking. Where a partial deposit is accepted, the remaining portion must be paid by the date specified; failure to pay the full deposit amount may result in the inability to finalize your booking or the cancellation of any temporary reservations.

Payment for the balance of your trip is required up to 30 days before departure. For reservations made less than 30 days before departure, full payment is required and is non-refundable. The non-refundable deposit is a payment toward the full package of services to organize your trip, and does not constitute payment for any one specific service (e.g., airfare, accommodation, excursion).

b. For groups of 8 or more travelers

Payment for the balance of your trip is required up to 60 days before departure. For reservations made less than 60 days before departure, full non-refundable payment is required. We reserve the right to adjust the cancellation/payment policy depending on group size and services included; you will be informed of any such adjustment by your travel advisor.

II. Accommodation

1. MilleVie Travel will present a variety of accommodation choices with pricing for your review before any deposit is required. Once you have agreed on your preferred accommodations, a deposit is required to confirm and lock in the booking; accommodations remain subject to availability until the deposit is paid and the booking is finalized.

2. After you have agreed on your choice of accommodation and submitted your deposit, MilleVie Travel will confirm the bookings at your selected accommodations. If your choice is unavailable, we will recommend a comparable alternative; if a comparable alternative is unavailable, we will offer accommodation from the next available price category, which may increase or decrease the overall trip price.

3. Once all accommodation reservations are confirmed, changes to booked accommodations may not always be possible, or may be subject to a change fee as indicated in Section F.

III. Excursions

A minimum of one excursion in each overnight destination of 2 or more nights must be included in your package. For single-city itineraries, a minimum of one excursion per full day must be included. Once your accommodation choices are agreed and your deposit is paid, MilleVie Travel will proceed with securing the excursions included in your package. If any excursion is unavailable, we will inform you and recommend a suitable alternative where possible.

C. CANCELLATIONS

Please note: cancellations due to Force Majeure are addressed separately in the Force Majeure clause of this Agreement.

Notification of Request to Cancel

Cancellations will only be accepted in writing (by email, to your travel advisor at MilleVie Travel). Charges will be based on the date the written cancellation is received. We recommend arranging travel insurance that covers cancellation for any reason. MilleVie Travel cannot be held liable for an insurance policy's rejection to refund your reservation; the choice of insurance policy is your sole responsibility.

Charges for Cancellations

Charges for cancellations are based on the final payment due date communicated to you during the sales process: trips canceled before the final payment due date result in loss of deposit; trips canceled at or after the final payment due date are subject to 100% of the total trip cost.

Changing the dates of your trip is classified as a cancellation, and the cancellation policy above applies.

Reducing the number of travelers before the final payment due date will result in loss of deposit for that traveler and may increase the per-person price for remaining travelers; you will be informed of pricing implications before confirming the removal. If requested after the final payment due date, the full amount due for that traveler must be paid.

MilleVie Travel may automatically cancel your reservation without prior agreement if there is an outstanding balance after the final payment due date, or if extra requested services remain unpaid.

If you leave the trip after it has started, no refund is available for any unused services, including accommodations, transportation, and excursions.

Where a transportation or travel service is canceled by the provider through no fault of yours, and you have not violated any previously disclosed terms, sums paid for services not provided will be promptly refunded to you, unless you advise us otherwise in writing after cancellation. This does not apply where MilleVie Travel has remitted payment to a registered wholesale seller of travel or carrier without obtaining a refund and that party defaults; in that case, MilleVie Travel will provide you a written statement and supporting bank records.

D. PRICES

All prices are quoted in U.S. dollars and are guaranteed once payment in full has been received. Prices are contingent on exchange rates current at the time of final payment; in the event of major currency fluctuation prior to final payment, please verify the final amount due before paying.

Trip packages are sold as a complete package only; price breakdowns or itemizations of individual services are not provided, as MilleVie Travel negotiates confidential rates with accommodations, guides, and drivers. Prices include only those services specifically listed as included in your proposal — additional local charges (e.g., resort fees, city taxes, watersports, mini bars, laundry) are at your own expense.

E. PLAN-TO-GO DEPOSIT

MilleVie Travel reserves the right to charge a Planning Deposit. Planning a custom trip requires considerable research and working time; this Planning Deposit is non-refundable but will be applied to the cost of your trip package once a proposal is confirmed. If you decide against the trip, the Planning Deposit remains available to apply toward a future MilleVie Travel trip package booked within one year of the original payment.

Your trip package price is guaranteed only once your full deposit has been paid. A Planning Deposit is a partial payment toward that deposit.

F. REQUESTING CHANGES TO RESERVATIONS

Changes to confirmed reservations are not always possible. Where a change is possible, third-party suppliers may charge an extra fee, or the overall cost may change; these differences are your responsibility. This does not apply to adding excursions or services, only to changes to existing confirmed bookings. MilleVie Travel reserves the right to charge a fee of up to $250 for changes to existing bookings (e.g., duration, route, number of participants, accommodation changes), calculated case-by-case based on complexity.

A change of dates is classified as a cancellation; see Section C.

G. REFUNDS

Refunds of amounts due at the end of a trip will be issued within 7 days after the trip ends. All refunds, other than those related to an involuntary change or cancellation of an excursion, are subject to a 3% deduction to cover payment processing fees.

H. SPECIAL REQUESTS

If you have a special request not automatically part of your booking (e.g., a quiet room, low floor, dietary need, early arrival, late departure), please tell us at the time of booking so we can pass it to the relevant supplier. Special requests are not guaranteed, even where noted on your invoice — that note only confirms we received and forwarded the request. MilleVie Travel will not pay compensation for an unmet special request unless we have separately confirmed in writing that the request will be met.

I. PASSPORTS, VISAS, TRAVEL DOCUMENTS & HEALTH

You are responsible for obtaining proper travel documents and for confirming visa/passport requirements with the relevant consulate for each destination in your trip. Your passport must be valid for at least six (6) months beyond the final day of your trip and have at least four blank pages. Visas are not required for American or Canadian citizens visiting EU countries; if you hold a passport from another country, please confirm requirements independently.

You are responsible for ensuring MilleVie Travel receives correct names, addresses, emails, and contact information for all travelers, exactly as they appear on each traveler's passport. Any penalties, fees, or expenses from incorrect information or missing documents/visas are your responsibility, including any fine imposed on MilleVie Travel due to a traveler's missing documentation or vaccination requirement, which you agree to reimburse.

Name changes, including spelling corrections, may result in airline reservations being canceled and requiring rebooking at availability and pricing current at the time; any related fees are your responsibility.

We recommend visiting official government travel advisory websites and consulting your healthcare provider both before booking and before departure regarding appropriate medical and health precautions for your destinations.

J. INSURANCE

Travel insurance is highly recommended but is not included in your trip package price. We strongly encourage you to purchase comprehensive travel insurance prior to your trip to protect against unforeseen occurrences, including but not limited to illness, injury, medical expenses, repatriation, trip cancellation, trip interruption, and loss of or damage to personal belongings.

MilleVie Travel LLC assumes no liability for any losses, costs, medical expenses, cancellations, or other issues that could have been covered by adequate travel insurance, or for any costs you incur as a result of failing to purchase such insurance. We recommend purchasing insurance shortly after your deposit is paid, and no later than within 14 days of that payment if you wish to secure cancellation coverage, as many policies have enrollment windows.

K. ACCOMMODATIONS

In the unlikely event your accommodation is unavailable upon arrival, MilleVie Travel reserves the right to substitute accommodation of equal or greater value.

There is no standard check-in or check-out time; these are set by the accommodation owner or operator. We will always arrange for secure bag storage if you must wait for check-in or leave before your scheduled departure. Early check-in or late check-out may be arranged upon request, possibly at an extra fee.

L. TRANSFERS

Transfers by car, minibus, coach, train, and/or ferry are included depending on your trip package and are subject to change without notice due to local circumstances. MilleVie Travel is not responsible for missed transfers due to events outside our control, including flight delays or baggage issues.

If your arrival flight is delayed and you miss a transfer, we will assist with alternative arrangements, but the original cost will not be refunded and any additional expenses are your responsibility. We strongly recommend travel insurance to protect against such costs. MilleVie Travel is not responsible for a missed transfer caused by tardiness, failure to meet at the designated pick-up point, or other negligence on your part.

M. AGE POLICY

An adult must accompany all travelers under the age of 18 throughout the trip.

N. ACCEPTANCE OF RISK

Some activities available during your travels (e.g., watersports, cycling, hiking, horseback riding, swimming, snow activities) carry inherent personal risk. By choosing to participate, you accept these risks and are responsible for following posted safety information and any instructions provided by suppliers or MilleVie Travel. If you or a member of your party feels unsafe or unsure during an activity, notify the instructor and stop immediately.

O. COMPLAINTS

If you are dissatisfied with any service, report it immediately to the MilleVie Travel destination manager responsible for your trip so it can be addressed in real time. If unresolved during your trip, submit your complaint in writing via email within 15 days of trip completion; we will work with you toward a resolution.

MilleVie Travel is not responsible for flight cancellations or delays — such complaints must go directly to the airline. We are unable to refund unused services (missed transfers, missed excursions, unused accommodation) resulting from airline complications, nor are we responsible for promises made by accommodation owners, local guides, or anyone who is not a MilleVie Travel employee. No refund is available for failure to participate in your trip, changes to the itinerary you request, or trip interruption.

P. RESPONSIBILITY

MilleVie Travel LLC contracts with a network of vetted, independent travel partners to help provide trip packages. All services from these partners (transportation, accommodations, excursions, and other ground services) are subject to the partners' own terms and conditions, and your purchase of such services constitutes acceptance of those terms.

MilleVie Travel LLC does not itself operate the buses, ferries, trains, cars, airlines, excursions, or accommodations used in its trip packages, and is not responsible for changes, delays, cancellations, or additional expenses arising from such services or from weather conditions. Claims related to the above should be directed to the relevant service provider or your travel insurance policy.

MilleVie Travel LLC will not be liable for injury, damage, loss, accident, delay, or irregularity arising from the actions of third-party service providers, and is not responsible for risks inherent to travel to the destinations we offer, including unstable political situations, civil unrest, war, or government or private actions. We are not responsible for the standards of quality, safety, sanitation, or business practices of third parties encountered during your trip, nor for any traveler who breaks a law or regulation of a country visited.

Q. DISCLAIMER, WARRANTIES & LIMITATION OF LIABILITY

Your use of MilleVie Travel LLC's services is at your own risk. Services are provided on an "AS IS" and "AS AVAILABLE" basis, without warranties of any kind, express or implied, including implied warranties of merchantability, fitness for a particular purpose, or non-infringement.

In no event shall MilleVie Travel LLC, its directors, employees, partners, agents, or affiliates be liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits or data, arising from or connected with your booking or use of our services, whether based on negligence, contract, tort, strict liability, or any other legal theory, even if we have been advised of the possibility of such damages.

Should MilleVie Travel LLC be found liable for any loss or damage connected with the above despite this limitation, our aggregate liability will not exceed the total service fees you paid to MilleVie Travel LLC for the trip giving rise to the claim. [Note: this cap and its wording should be confirmed with an attorney before publishing.]

This disclaimer does not limit liability that cannot be limited under California law, including for gross negligence, willful misconduct, or death or personal injury caused by our negligence.

R. INDEMNIFICATION

You agree to defend, indemnify, and hold harmless MilleVie Travel LLC, its employees, contractors, agents, officers, and directors from and against any claims, damages, losses, liabilities, costs, or expenses (including reasonable attorneys' fees) resulting from your use of our services or a breach of this Agreement.

S. FORCE MAJEURE CLAUSE

MilleVie Travel LLC shall not be liable for failure or delay in performing its obligations under this Agreement where such failure or delay is caused by circumstances beyond our reasonable control, including but not limited to fires, floods, embargoes, war (declared or undeclared), insurrection, riots, civil commotion, strikes or labor disturbances, changes in law or government action, quarantine measures, infectious disease outbreaks or pandemics, or technical catastrophes and accidents.

MilleVie Travel LLC will act in good faith and use reasonable commercial efforts to avoid or remove the cause of nonperformance, will notify you in writing of any Force Majeure delay, and will resume its obligations once the cause of nonperformance reasonably ceases.

T. FORCE MAJEURE CREDITS

Where a Force Majeure event prevents MilleVie Travel LLC from properly performing its duties, we will apply a Force Majeure credit for affected reservations, using best commercial efforts to preserve the full value of the reservation as a credit toward a future trip. This credit excludes refunds except in the exceptional circumstances described in Section U.

A Force Majeure credit is valid until the end of the calendar year following the original trip's start date, and is granted once you sign a Consent Form for Future Travel Credit. Once signed, the offer is final and cannot be revisited; if you do not reply within one week of the offer being sent, it expires and is subject to change. A credit derived from a deposit may only be applied toward a deposit on the rescheduled trip.

U. FORCE MAJEURE REFUNDS

Notwithstanding the credit policy above, you or an immediate family member may request a reservation refund in the following exceptional circumstances: (1) death of a customer or immediate family member; or (2) a diagnosed serious illness or grave injury of the customer, occurring after the reservation was made, that carries a high risk of mortality or seriously impacts daily function. Pre-existing conditions, doctor recommendations to avoid travel, or general risk of illness do not qualify.

MilleVie Travel LLC must be informed of the qualifying event without unreasonable delay — no later than ten calendar days after it occurs, and no later than ten calendar days before the trip is scheduled to begin — with supporting documentation from the relevant medical, funeral, or official entity. Requests outside this window are subject to standard cancellation policy. Where a refund is approved, a service fee (up to 50% of the total trip cost) will be deducted; any forged or fraudulent documentation will be reported to the authorities.

V. PROMOTIONAL RELEASE

During a tour, photos or videos may be taken for use by MilleVie Travel or our local partners in promotional materials (print, online, website, social media). You will be informed in advance and offered the choice to be included or excluded. By agreeing to be included, you allow MilleVie Travel and its partners to use that content for promotional purposes.

W. GENERAL TERMS

MilleVie Travel LLC operates as an independent business; no joint venture, partnership, or employment relationship is created between you and MilleVie Travel LLC, or between you and our travel partners, by virtue of this Agreement.

This Agreement constitutes the entire agreement between the parties regarding its subject matter and supersedes all prior discussions or agreements. Any modification must be in writing and agreed by both parties. Our failure to enforce any provision is not a waiver of that provision. If any provision is found invalid or unenforceable, the remaining provisions remain in full force.

X. GOVERNING LAW & DISPUTE RESOLUTION

This Agreement is governed by the laws of the State of California, without regard to conflict-of-law principles. In the event of a dispute, the parties will act in good faith to resolve it amicably through negotiation. If unresolved within a reasonable time not exceeding one month, disputes may be resolved through mediation or litigation in the courts of the State of California.
